HOW APPARATE WORKS
Find the opportunity. Implement the improvement. Keep it working.
Start with one measurable problem. Apparate assesses the opportunity, agrees the work with you and manages the implementation and ongoing operation.
Find Your Profit OpportunitiesYour first step is a free assessment, with no obligation to proceed.
01 · FREE PROFIT OPPORTUNITY ASSESSMENT
Assess one opportunity
Start with an area where your business is losing revenue, spending unnecessarily or wasting time. We review how it works today and identify a practical improvement worth investigating.
What you get
A focused opportunity review that separates verified figures from estimates. There is no obligation to proceed.
What Apparate does
- Understand the process, systems and people involved.
- Establish what is known about the current cost or performance.
- Outline the expected benefit, implementation requirements and estimated payback period.
What we need from you
Tell us about your business, the problem and the systems you use. You do not need to share passwords, customer records or financial documents in the enquiry form.
02 · PRIORITISE BEFORE YOU COMMIT
Agree the scope and success metric
If there is a suitable opportunity, we define one improvement workflow and the work required to implement and manage it. You decide whether to proceed with the agreed scope.
What you get
A defined engagement with a measurable success metric, clear responsibilities and agreed costs.
What Apparate does
- Agree the baseline, expected outcome and how it will be measured.
- Confirm system compatibility, access, responsibilities and approval points.
- Set the service allowance, fees, initial term and any setup or third-party costs in writing.
What we need from you
Choose a business owner for the workflow, review the proposed scope and approve access and costs before implementation.
03 · PUT THE AGREED WORK INTO OPERATION
Implement and test the improvement
We deploy the sales process, integration or automation needed for the improvement. The workflow is tested before activation, with clear ownership for decisions and exceptions.
What you get
An implemented workflow with a named owner, agreed operating rules and a clear way to handle exceptions.
What Apparate does
- Configure the agreed process and connect the relevant systems.
- Test normal operation, missing information and failed actions.
- Confirm approvals, escalation steps and the approach to pausing or reverting changes before activation.
What we need from you
Provide the agreed access and business rules, help check representative examples and approve activation.
04 · ONGOING MANAGEMENT
Manage, measure and improve
After activation, we monitor the workflow, maintain the agreed systems and review performance against the baseline. The objective is a useful improvement that continues to work.
What you get
An ongoing view of operational performance and measurable benefit, with further work scoped separately.
What Apparate does
- Monitor operation and surface exceptions for the responsible person.
- Maintain the workflow and make agreed refinements within the service allowance.
- Report the result, the costs involved and any remaining uncertainty.
What we need from you
Review results with us, resolve business decisions that need your approval and flag changes to your systems or operating process.

Questions about the process.
What should I prepare for the assessment?
Start with your business name, team size, current systems and one problem you want to improve. If the opportunity needs a deeper review, we will agree what information is needed and how it can be shared. Do not include passwords, customer records or financial documents in the initial enquiry.
How quickly can we start?
Timing depends on the opportunity, access, system compatibility and the approvals required. We agree the implementation plan before you commit. The 90-day initial term is a service commitment, not a promise that every improvement will be completed within a fixed number of days.
What happens if a workflow fails?
We agree monitoring, ownership and an escalation path before activation. Failed actions and missing information are surfaced for review. The scope defines the support and maintenance covered by the service allowance.
How do you measure the benefit?
We compare results with an agreed baseline and separate verified figures from estimates. Revenue, gross profit, cash savings and time released are reported according to the outcome being measured. Setup, software and service costs are considered when assessing the net benefit.
Can the service expand over time?
Yes. Once the first improvement demonstrates value, we can assess another opportunity and agree its scope and fees. Additional workflows, integrations and work outside the existing allowance are a separate decision.
